Our office is located at JP Marg, Thamel, Kathmandu, Nepal. The company, headed by Kul Bahadur Gurung (Kul), is registered with number 27588 / 060 /061.

These terms and conditions are a legal contract between you (the client) and us (the company). They cover all aspects of our trip operations and form the basis of our mutual trust. This document outlines the services we promise to provide and your acceptance of these terms when you book with us.

These terms and conditions apply to all holiday trips we offer.

  • You must read these terms carefully before booking a trip online.
  • By booking a trip, you agree to our cancellation policy certain terms and conditions, and liability limits.
  • Both you and we are responsible for resolving any legal disputes, misunderstandings, or unexpected incidents that may arise during a trip.

It’s challenging for trekking companies to operate in every country and manage international trekkers. If you are a trekking or expedition company, we can build a mutually beneficial relationship. We will handle Nepal trips for your clients, and you can manage our trekkers in your country.

Booking a Trip

The term “Trip” on our website includes any product itinerary or activity you buy from us, such as trekking, walking, hiking, climbing, sightseeing, mountaineering, tours, expeditions, and other adventure programs.

Confirming by email is the fastest way to indicate that we have accepted your trip booking. Your trip is confirmed from that date.

Contract Formation

A contract starts when Alliance Treks accepts your reservation details.

Both the company and the client agree to this contract for it to be valid. Before confirming any trip booking, the company has the right to change the listed brochure price.

Please note, that the company disclaims any warranty, collateral agreement, prior agreement, description of services, or terms & conditions, except those stated here.

Deposit Requirement

A. Nepal trip confirmation payment

To secure your place and confirm your Nepal trip booking, you need to make a non-refundable 10% down payment of the total trip cost within two weeks of your inquiry. This advance deposit is required per person and shows you plan to take the trip.

We need advance payments to arrange hotel reservations, flight tickets, transportation tickets, permits, and Trekkers’ Information Management Systems (TIMS) cards. We start arranging your services as soon as we receive the deposit.

You can make the booking deposit through bank transfer or by credit card (Visa, MasterCard, or American Express) using Card authentication. We will email you additional information on how to deposit the money directly.

B. Nepal trips final payment

You can generally pay the remaining 90% balance for trekking, tours, climbing, expeditions, or any trip upon your arrival in Nepal, during the official briefing at our office, before the trip starts.

Furthermore, you will receive the final trip documentation once full payment is made. You can pay the final balance via bank transfer, cash, or credit card (Visa, Mastercard, or American Express). A 4% surcharge applies to credit card payments for trip extensions, final balances, and miscellaneous purchases. We recommend paying in cash to avoid this surcharge imposed by credit card service providers.

C. Tibet / Bhutan Trips

For Tibet and Bhutan trips, you must make 100% payment one month before the trip starts.

Payment Methods

After the company approves your trip request, the next step is to make the specified payment as outlined in the statement above. You can transfer funds for booking trips through bank transfer or by using Card authentication with a credit card (Visa, MasterCard, or American Express).

When filling out the required details for transferring funds through any payment method, please proceed carefully. Once you fill out the booking form on our website, the company will email you the payment details.

A. Payment by credit card (Master card or Visa)

When making a payment, choose the trip package you want to join. Fill in the necessary information under “BOOK THIS TRIP” and pay the specified advance amount for that trip.

B. Payment via Wire/Bank Transfer

The bank payment details provided below belong exclusively to Alliance Treks. The company has the right to claim ownership of these details with full legal authority, as disclosed in the account opening clause.

After completing your transfer, please email us with the attached remittance slip or reference numbers. This helps us verify in case the name differs from what the bank forwards.

Please note, that under our terms and conditions, we are not responsible for any delays or losses during the transfer process. Additionally, if there are deductions due to intermediary banks or other reasons, you will need to pay the difference upon arrival to match the total product cost.

Last minute booking

Alliance Treks has a special provision for clients who cannot book trips in advance but wish to confirm within a short period for Nepal trips. We accept last-minute bookings with 100% trip payment up to 24 hours before the trip starts. We are always prepared to operate Nepal trips at any time.

Cancellation policy

A. Company cancellation

In rare cases, trips may be delayed or rescheduled due to unexpected events beyond our or the client’s control.

If a trip needs to be canceled, we offer a refund of the advance payment under certain conditions. Factors such as religious, cultural, economic, political, or social reasons may prevent participation in specific trips as decided by local government authorities. In such cases, clients can switch to other trips of similar cost or change the trip dates.

Alliance Treks does not assume responsibility for these events. It’s important to heed advice from guides, Sherpas, or locals regarding weather conditions, trail conditions, or any other concerns, as ignoring such advice could jeopardize your health. Decisions made by trek leaders are final.

B. Trip cancellation by the Clients

If you have paid for a trip in full and need to cancel it, you are eligible for a refund.

You must notify us of the cancellation in writing, and we must acknowledge your request. The company reserves the right to apply certain charges for trip cancellations.

The cancellation charge is a percentage of the total trip cost listed on our website brochure.

You will receive a refund of the full trip cost if you have paid in full.

Once the trip has started, we do not provide refunds to clients who decide to leave for any reason.

No refunds are given for unused portions of the itinerary or for facilities like accommodation, transport, sightseeing, meals, or services that were not utilized.

Lifetime Deposit

If the client cancels a Nepal trip after making an advance payment, the company will hold the advance as a lifetime deposit. The client can use this deposit for future trips.

Trip Amendment

The trip amendment is required when unforeseen circumstances necessitate changes to the itinerary during the trip. Factors like weather conditions or landslides, beyond our control, may affect trips, and the company will advise clients promptly in such cases.

Clients wishing to amend their trip for personal reasons must notify the company in writing. The company will then decide on the necessary changes.

The fees for trip amendments are as follows:

  • Clients requesting amendments more than 30 days before the original trip departure date will incur a charge of US $50.00 per person.
  • Amendments requested less than 30 days before the original trip departure date will incur charges equivalent to cancellation fees. This is because hotels, guest houses, group operators, and airlines often require advance payment.

Trip Cancellation by Company

The company reserves the right to cancel any booked trips for valid reasons beyond its control. This includes concerns for client safety due to natural disasters, flight cancellations, strikes, wars, sickness, government intervention, weather conditions, or other unforeseen events. In such cases, Alliance Treks will refund 50% of the trip booking price, as third-party payments for transportation, accommodation, and other fees would have already been made.

Please note, that significant changes do not include changes in airline carriers, flight schedules, or itineraries, as long as departure and arrival dates remain unchanged. Changes in cabin category or hotel accommodation within the same category are allowed.

The company is not responsible for any additional expenses, losses, or consequences resulting from trip bookings, such as visa issues, non-refundable flights or train tickets, non-refundable parking fees, loss of income, etc.

Medical conditions and special requirements

Clients must inform Alliance Treks in writing about any existing medical conditions that could affect their fitness during the trip at the time of booking. Failure to disclose these conditions may result in the client being denied travel without any refund.

Clients should also consider factors like age, pregnancy, or other physical or mental conditions that could affect mobility (such as trekking). We advise choosing a suitable trip accordingly. The company will only provide special facilities if agreed upon in writing beforehand.

While the company will strive to accommodate special requests, such as dietary preferences, these requests are not guaranteed as part of the contract. Medical facilities vary between countries, and the company does not make any representations or warranties regarding the standard of such treatment.

Travel Insurance

Trips to remote Himalayan regions carry inherent risks due to factors like bad weather, landslides, and floods, which are beyond our control and can result in serious injury or death. Our company prioritizes minimizing these risks to the best of our ability.

Despite our efforts, there remains a very low possibility of accidents. Therefore, travel insurance is mandatory for all Himalayan trips, covering adequate protection for the entire duration. Your insurance policy must include coverage for accidents, death-related expenses, injuries, illnesses, medical costs (including pre-existing conditions and evacuation), emergency repatriation (including helicopter rescue and air ambulance where applicable), and personal liability.

We also recommend coverage for trip cancellation, curtailment, loss of luggage, and personal belongings. You must carry proof of insurance and provide it upon request by the company. Failure to provide proof may result in the company canceling or suspending your participation in the trip or related activities, even after the trip has started, without entitlement to a refund.

Flight delays and changes in the itinerary

Please be aware that mountain adventures are inherently unpredictable, mainly due to unpredictable weather conditions in mountainous regions that can cause delays in domestic flights. If there are delays in your departure or return flights, you are responsible for covering additional expenses such as food and accommodation costs.

If you choose to arrange an alternative like a helicopter flight to avoid flight delays, you will need to bear the extra costs. Alliance Treks does not take responsibility for expenses incurred from missing international flights but will assist in making alternative arrangements whenever possible.

During the trip, unforeseen circumstances beyond our control may necessitate changes to the itinerary. However, we will adhere to the itinerary as closely as possible.

Paper and document

You must carry all required documents with you and present them upon request by the company. You may also need to send scanned documents for purposes like flight or accommodation reservations during booking.

The company does not take responsibility if trip formalities are not completed on time due to missing essential papers and documents.

Visa and Passport

When traveling with Alliance Treks, you must carry a valid passport and obtain the required visas. Ensure your passport remains valid for at least 6 months beyond the trip’s duration. It’s your responsibility to obtain the correct visas for the countries visited during the Nepal trip.

The company is not liable if you are denied entry to a country due to incorrect visa documentation. Most countries offer visas on arrival in Nepal. For Tibet and Bhutan, necessary arrangements can be made upon request. Clients traveling to India must obtain a visa from their home country.

Injuries and Evacuation

Alliance Treks does not assume responsibility for any injuries, health conditions, emotional distress, or other conditions experienced by clients during the trip. Our package cost also does not cover personal insurance.

Therefore, we recommend that clients obtain comprehensive insurance coverage, including medical emergencies and helicopter evacuation.

Services missed or unused

No discounts or refunds will be provided for missed or unused services, including cases of voluntary or involuntary termination or departure from the tour due to reasons like illness, death of a family member, late arrival, or early departure, whether voluntary or involuntary.

Health & Fitness

Trekking in remote Himalayan areas demands a certain level of physical fitness. It’s advisable to consult a doctor before deciding to travel to Nepal. You must inform us of any existing medical conditions or disabilities that could increase the need for medical attention and affect your ability to travel.

Children

All travelers under the age of sixteen must be accompanied by a legal guardian. Additional details regarding age requirements and suitability will be provided in email correspondence.

Discount Provision

The company provides special discount rates during holidays and off-seasons for specific products, available for a limited period. Clients must book trips within the specified offer period to avail of these discounts. Bookings made before or after the offer period are not eligible for the discount.

A. Groups

Alliance Treks provides a 10% discount per person on the brochure price for groups with at least 6 members. The company organizes trips for any group size, including individuals. Groups with fewer than 6 members do not qualify for the discount.

B. School / College Group

Alliance Treks offers discounted trip prices to students (in school or college) volunteering in remote Nepali communities. These groups will not be billed the listed trip price, and the discount is applied at the time of booking. This service aims to support community welfare initiatives.

C. Business-to-Business

Alliance Treks offers special rates for international agencies seeking to organize trips to Nepal in collaboration with the company.

Holiday changes

Traveling with Alliance Treks requires flexibility and understanding. Occasionally, modes of transport, accommodation, and itineraries may change unexpectedly due to local circumstances like flight delays, cancellations, or weather conditions such as landslides, road closures, floods, snow, or political unrest. In such cases, refunds are not possible due to prior arrangements with suppliers. However, the company offers alternative trips of the same category or substitutes instead of refunds.

Alliance Treks does not accept responsibility for job loss, delays, or compensation resulting from booking and embarking on a trip with us.

Supplement charge

All our holiday trip packages, rooms, or tents are arranged for twin sharing. Clients will be charged a single room supplement if they do not have another tour participant to share accommodation.

Risk & Responsibility

Your safety and enjoyment are our top priorities, and we will never compromise on your safety. Our entire team is dedicated to ensuring your holiday is stress-free.

We are committed to providing professional services that can be transformative journeys. We coordinate all trips with strong teamwork and support, strictly following Nepal government rules and policies.

Unexpected circumstances like government restrictions, landslides, road closures, political unrest, flight cancellations, delays, sickness, or accidents may require itinerary changes. Alliance Treks and its partners are not liable for such changes, and clients are responsible for any additional costs that occur during these times.

Trip Duration Changes

If the booked trip ends before the specified duration in the package, the Company will not issue any refunds. However, if the trip extends beyond the specified duration, the client will need to pay additional costs.

Responsible Tourism Policy

Alliance Treks aims to benefit local communities, tourists, the environment, government, and the tourism industry. Please read our Responsible Tourism Policy for detailed information before booking your holiday with us. We appreciate your adherence to our guidelines and policies to enhance your trip experience.

Impact on the journey

We strive to make your trip comfortable, exciting, and thrilling. Please note that Himalayan countries may not have all the facilities you are accustomed to, unlike affluent Western countries. We want you to be aware of this difference.

Your personal belongings

During the trip, our crew members endeavor to ensure the safety of your luggage. The company does not accept responsibility for any loss or damage to your belongings while our porters, ponies, or vehicles transport them. We recommend purchasing comprehensive insurance to cover such risks.

Dispute Settlement

Any disputes will be resolved in Kathmandu, Bagmati Province courts according to Nepalese laws.

Compensation

If the company has to provide compensation, it will not exceed the amount paid by the client to the company.

Enforcement of Terms and Conditions

If certain provisions in this terms and conditions document conflict with local laws and are not enforced, we will void those specific provisions. The rest of the terms and conditions will remain enforceable.

Publicity

Alliance Treks may use images taken by clients during their trip for publicity and promotional purposes without prior notice, recourse, or compensation. By agreeing to this, you grant permission to the company. If you explicitly ask that your images not be used for publicity or promotion, the company will honor your request.

Privacy

When booking, the company asks clients several questions to obtain necessary information. We will not use any private or personal information you provide to us during booking for any other purposes.

Updating of terms and conditions

The company can update and change these terms and conditions anytime. It’s the client’s responsibility to stay updated with these changes. You can always find the current terms and conditions on our website www.alliancetreks.com, which will apply in any dispute.
